Position Title: People & Culture Assistant

Reports To: Manager of People and Culture

Pay Grid: $18.00/hr. (Part-Time 20 hours)

Department: Association Services

What qualifications are we looking for?

At the YMCA of Medicine Hat, we strive to ensure our employees are a good fit based on their strengths, interests, and future goals.


The successful candidate will have the following:


Education/Certifications/Credentials/Professional Registration

· Office Administration Diploma

· Minimum 2 years of experience with strong technical skills required; experience working in a not-for-profit or charitable organization

· Standard First Aid, CPR-Level C

· Evidence of a clear Police Information Check (with Vulnerable Sector Search if applicable), within the last six months


Knowledge & Skills

· Knowledge of various payroll software; previous experience with Great Plains and Avanti would be an asset.

· Ability to manage the integration of multiple software systems, including Excel spreadsheets.

· Excellent communication skills that facilitate working effectively with individuals from all levels of the organization

· Highly organized team-player with great attention to detail and accuracy.

· Excellent time management skills

· Quick learner with a good work ethic

· Positive attitude and ability to achieve results while maintaining strong relationships with colleagues

· Previous experience with data processing and entry

· Fluent in MS Office Suite



What does this role look like at the YMCA of Medicine Hat?

Reporting to the Manager of People and Culture the People & Culture Assistant is responsible for assisting with Payroll and HR duties and administrative tasks.


The responsibilities and duties of this role will include but is not limited to:


Customer Service

· Respond to phone calls/emails within 24 business hours.

· When responding to the office doorbell, greet visitors professionally and courteously.

· Interaction with volunteers, members, employees, and the public at large.


YMCA Values

· Demonstrate knowledge and promote a personal understanding of and appreciation for the mission, vision, and values of the YMCA and its programs and services.


Teamwork

· Work effectively within the Association Services team, contributing to its overall success by:

- Promoting the YMCA’s annual Strong Kids Campaign

- Promoting and/or attending YMCA events

- Contributing to a positive and healthy workplace culture

- Other duties to assist the team, as assigned.


SAM Standards

· Achieve all quality standards and targets established under YMCA best practices and the YMCA’s SAM 2.1 program

· General cleaning as required around the facility

· Light office cleaning and organization of area



Interpersonal/Communication Skills

· Communicate effectively with coworkers, supervisors, managers, and the senior leadership team.

· Ensure workplace conflicts are resolved quickly, following YMCA policies and procedures.


Quality of Work

· Meet all task deadlines associated with the month-end payroll and accounting cycle.

· Scanning to aid in moving to a paperless environment.

· Assist with decentralized HR processes such as onboarding packages, preparing employment contracts, job postings, etc.

· Use of Adobe/DocuSign to make various PDFs, gain electronic signatures, etc.

· Assist with document formatting/Creation

· Digital and paper tracking/filing, with ongoing maintenance of filing systems

· Database creation and/or data entry

· Assist and support with payroll functions, and complete payroll cycle as needed

· Complete payroll reconciliations

· Other administrative duties as required


Compliance with Legislation and YMCA Policies and Procedures


· Adherence to the following at all times:

o YMCA Child Protection, YMCA Operational Policies and Procedures, Occupational Health and Safety standards, and Employment Standards

o Occupational Health and Safety standards.

o Ensure work is consistent with Generally Accepting Accounting Principles for non-profit/charitable organizations.



Work Environment and Physical Demands

· Shared office space, located on the main floor

· Stairs to the basement, as needed to access storage, additional washrooms, and staff room

· Sitting at a desk and using a computer for most of the day

· From time to time, may need to lift boxes of files weighing up to 20 lbs

· May be exposed to all weather conditions when walking outside to/from bank
