Facilities Coordinator

CORE Association is seeking a detail-oriented and proactive Facilities Coordinator to oversee the maintenance, safety, and smooth operation of all CORE-owned properties.

CORE Association is seeking a detail-oriented and proactive Facilities Coordinator to oversee the maintenance, safety, and smooth operation of all CORE-owned properties. Reporting to the Executive Director, this role manages facility maintenance, contractor coordination, annual inspections, and compliance with regulatory standards.

Key Responsibilities

Facility Management & Maintenance

  • Enter and maintain records of assets, maintenance, repairs, and work orders in the facilities database “ClickMaint.”
  • Prioritize and assign work orders in a cost-effective manner.
  • Monitor contractor work and ensure compliance with WCB and quality standards.
  • Conduct yearly inspections of CORE-owned residences.
  • Maintain facility standards required by regulatory authorities.
  • Assist with maintenance and janitorial of the Main Building
  • Coordinate annual inspections such as fire alarm systems and lifts for all CORE Facilities.
  • Coordinate building use by external groups.

Financial & Operational Duties

  • Obtain quotes for equipment, service agreements, and maintenance work.
  • Provide recommendations to the Executive Director for expenses outside of the approved budget.
  • Prepare and maintain forecasts of facility-related capital expenditures (excluding computer/office equipment).
  • Maintain positive working relationships with contractors and vendors.
  • Work effectively in a collaborative, team-oriented environment.

Qualifications

  • Degree or diploma in a related field with progressive experience at a middle-management or administrative level.
  • Valid class five driver’s license and access to vehicle for all shifts with at least one-million-dollar liability and the ability to transfer individuals.
  • Police Information Check with Vulnerable Sector screening.
  • Strong written and verbal communication skills.
  • Proficient computer skills, including Microsoft 365 (SharePoint and Excel), reporting tools and finance/budget management databases. Experience with “ClickMaint” would be an asset.
  • Strong internet research skills.
  • Knowledge of community resources.
