JOB TITLE: HR Administrative Assistant

DEPARTMENT: Administration

STATUS: Part-Time (Tuesday-Thursday), 7.5-hour days

REPORTS TO: Founder & HR Consultant & Designate(s)

STARTING RATE: $22/hr


JOB SUMMARY

This role supports the Founder with core responsibilities including client onboarding and intake, client retention efforts, accounts payable/receivable, marketing, and building internal workflows for greater efficiency.

This is a great stand-alone position for someone who wants to excel at administration and customer support responsibilities that will allow them to grow and learn lots of different software and processes or it’s a stepping stone to a career path to an associate HR Consultant.

You’ll be a jack-of-all-trades with a sharp eye for detail and improvement, helping manage administrative duties so the Founder can focus on business growth. You must be resourceful, a self-starter, and confident in digging into new tools, solving problems, and delivering exceptional client support.

Key Responsibilities:

Administrative & Client Support

  • Manage emails and client communications on behalf of the Founder and business
  • Prepare client files and meeting materials as needed
  • Prepare and assist with HR-related documentation creation as needed
  • Respond to client inquiries during the Consultant’s absence
  • Support onboarding/offboarding and ensure accurate file organization

Pick up, drop off, and organize documentation or materials as needed, including financial paperwork and mail

Finance & Systems

  • Manage invoicing, accounts payable/receivable, and reconciliations
  • Assist with GST filings and year-end documentation
  • Maintain client and financial records in accounting software and CRM system

Content & Marketing

  • Maintain and update website and social media content
  • Organize and implement email and newsletter marketing Collect, organize, and publish client testimonials and logos
  • Post and create content for social media as well as postings related to clients such as recruitment needs on social media and website

Process & Project Management

  • Document and improve internal workflows and delivery processes
  • Maintain organized checklists, templates, and internal documentation
  • Streamline and improve software usage and workflows and automations
  • Collaborate on projects and timeless for clients as required
  • Other duties as assigned

Tools You’ll Use Regularly

  • QuickBooks, HoneyBook, WIX, Canva, Zoom, Outlook, Clockify, Asana

QUALIFICATIONS AND EXPEREIENCE

  • Business Administration Diploma, HR Certificate, or Office Administration Certification or equivalency
  • Experience with accounts payable and receivable is an asset
  • 2+ years experience in HR administration, client customer service, and client management or accounts payable
  • Previous experience in accounting software, marketing software and project management software is an asset
  • Clear Criminal Record Check and satisfactory background check
  • Class 5 Drivers license and a reliable vehicle

Key Performance Indicators (KPIs)

  • All tasks are completed efficiently and in a timely manner
  • Marketing material and scheduling is efficient and optimized
  • Onboarding/offboarding tasks completed within 3 business days of client start or ending

Internal process improvements implemented within 6–12 months

Great customer service with efficient, professional responses and content

Financial transactions completed in a timely manner with zero errors

Demonstrated initiative in taking on tasks and finding efficiencies

Ability to learn new systems quickly and identify improvements or automation opportunities

Willingness to take on new tasks and learn additional responsibilities once core duties are mastered

Strong collaboration and communication maintained through consistent remote check-ins

 

Working Conditions

-This is a hybrid position. The role is currently remote with flexibility and may shift to include in-office work as the company grows and secures a physical workspace.

-Must have access to a reliable internet connection, computer, and private workspace for remote work

-Occasional virtual check-ins and potential in-person meetings and training as require

-A high degree of autonomy is expected, along with proactive communication to support team alignment

-Must have access to reliable transportation for local errands such as picking up mail, dropping off documents, or completing occasional financial or business-related tasks in the community.
