Manager of Programming (Full-time, Contract)

Department: SETTLEMENT PROGRAM           Reports to Executive Director


Position Summary:

  • The Manager of Programming oversees the coordination of the Community Connections (CC), Settlement Workers in Schools (SWIS), and Language Instruction for Newcomers to Canada (LINC) program activities. They also ensure adherence to the goals and objectives of program contracts.
  • Performing environmental scans with clients and community agencies to establish newcomers' programming needs and develop appropriate programs and services to meet these needs.
  • Ultimately, the position works with the individual program staff to ensure accurate and regularly recorded statistics and that defined outcomes and outputs are met.


Primary Duties and Responsibilities:

  1. Planning

~ In cooperation with the Executive Director, clients, staff, and community ambassadors determine emerging program needs.

~ Spearhead program development that aligns with clients' and community needs.

~ Develop programming proposal with the Executive Director, Human Resources, and Financial Manager.

~ Ensure program development is within the defined scope of the agency.

~ Ensure short-term goals work towards the long-term mission of the agency.

~ Assess potential risks and benefits of new program activities.

~ Oversee the maintenance of forms recording of materials, and make sure that records for the programs are complete, accurate, and accessible.

~ Oversee the activities related to the measurement of program outcomes.


  1. Implementation

~ Ensure eligible clients are aware of available programs and are utilizing these program opportunities.

~ Monitor attendance and follow up with clients who are not meeting the attendance requirements of programs.

~ Develop information sessions for clients regarding upcoming programs

~ Ensure the program staff are aware and competent in using the developed recording material.

~ Review activity within the program with both staff and clients regularly.

~ Conduct regular consultations with clients to ensure programs are meeting our clients' needs.

~ Provide consistent support to programs and staff to ensure programs meet clients' needs.

~ Facilitate program evaluations with staff and participants to ensure future program success.

~ Ensure accurate monthly Better Outcomes and ICARE data entry.

~ Review progress towards program outcomes and communicate to staff areas where results are below or above expectations.

~ Review each contract to ensure a complete understanding of eligibility and outcomes, and ensure program staff are aware of these conditions.

~ Develop forms and records to ensure documentation of program activities.

~ Ensure curriculum compliance, revision, enhancement, and material selection

~ Oversee the development and implementation of outcome measures for program improvement and service enhancement

~ Provide SISA programming as per contracts. 

~ Compile SP monthly program delivery reports and contribute to the narrative and annual reports as per IRCC Contribution Agreement requirements.


        3. Community Presence

~ Provide informational sessions to community partners regarding SISA programs, cultural sensitivity, and working with newcomers, and promote diversity, equity, and inclusiveness.

~ Seek regular opportunities to extend information to the community regarding programs offered at SISA.

~ Attend community functions, allowing for programming and partnership opportunities.

~ Attendance/membership in community (local, provincial, national) organizations with similar or complementary goals.


      4. Leadership and Supervision:

~ Identify skills gaps and recommend appropriate professional development activities

~ Empower employees to take responsibility for their jobs and goals

~ Lead employees to meet the organization’s expectations for productivity, quality and goal accomplishment


      5. Staffing Support

~ Ensure new staff members receive orientation relating to the program.

~ Provide effective performance feedback through employee recognition and disciplinary action, with Human Resources' assistance.

~ Encourage open communication with staff to enhance their program performance

~ In cooperation with Human Resources, participate in annual performance evaluations where appropriate.

~ Do a job interview for the programming team in collaboration with Human Resources.

 

      6. Other 

~ Participate in monthly Team Meetings, Staff Meetings, and Manager Meetings

~ Provide settlement and program support when required.

~ Other responsibilities as assigned by the Executive Director


Qualifications and Experience:

  • A bachelor's degree in a related field is required.
  • Experience in management and team building.
  • Possess strong oral and written communication skills.
  • Be flexible to work irregular and extended hours as required.
  • Demonstrated leadership and strategic thinking abilities.
  • Demonstrated ability to coordinate and manage multiple projects in a fast-paced, highly professional environment.

 

Health and Safety:

  • Work in compliance with the OH&S Act and Regulations and abide by the SISA's health and safety policies and procedures.
  • Ensure that the equipment, materials and protective devices prescribed and regulated are provided and maintained in good condition.
  • Apply health and safety regulations and policies.
  • Maintain a safe working environment.

  • Adherence to policies and regulations of SISA.

  • To support newcomer clients and volunteers, SISA staff are strongly encouraged to collaborate and be involved in SISA's events and celebrations. Employee participation in such circumstances is on a volunteer basis.
